In this chapter, you will learn how to:
When you are logged into your voice mailbox, you can send voice messages to individuals and distribution lists. You will learn how to create a distribution list in "Creating a Distribution List".
To send a voice message:
Step 2 Enter the recipient's phone number, or enter a distribution list number, and press #.
Step 3 Repeat step 2 to address the message to other recipients.
Step 4 Press # after you've entered all recipients.
Step 5 Record your message at the tone, and press # when you finish recording.
Step 6 Use the following options to complete and send your voice message.

The system informs you if it cannot deliver your voice messages. If a message is not delivered successfully, you hear the following the next time you get your messages: "The following message was not delivered to..." You can try again by forwarding an undelivered message to the original recipient.
When you send a voice message, you can mark it as urgent, confidential, or both.
The persons receiving the message you mark as urgent have the option of listening to this message before others they may have received.
Confidential messages cannot be forwarded from the telephone, although they can be forwarded from the PC.
After recording (but before sending) your message, you can choose to set delivery options.
To mark messages urgent or confidential:
Step 2 After pressing * to complete your recording, press 5 if you wish to mark the message as urgent and/or confidential.
Step 3 Press 1 to mark the message as urgent. Press 1 again to mark the message non-urgent.
Step 4 Press 2 to mark the message as confidential. Press 2 again to mark the message not confidential.
Step 5 Press 9 to hear the current message settings.
Step 6 Press *2 to return to the previous menu and send the message.
You can forward any fax or e-mail in your voice mailbox to an individual recipient, or to everyone on a distribution list. You will learn how to create a distribution lists in "Creating a Distribution List".
You can forward a fax or e-mail with or without a comment. A comment is a message you add to the beginning of the forwarded fax or e-mail (for example, "Hi, Bob; I'm forwarding you this fax message from our customer.")
To forward a fax or e-mail with a comment:
Step 2 Enter the recipient's phone number, or a distribution list number, and press #.
You can continue to enter numbers, pressing # after each entry. Press # a final time when you have entered all numbers. (See also "Dialing by Name".)
Step 3 Press 1 to forward the fax or e-mail with a comment. The system prompts you to record your message, and press # when finished.
Step 4 Record the comment you want to attach to the fax or e-mail you are forwarding and press #.
The system allows you to use or re-record the message.
Step 5 When you are ready, press 1 to send the fax or e-mail. After you forward the message, the system returns you to the fax or e-mail you forwarded. You can then save or delete the message.
To forward a fax or e-mail without a comment:
Step 2 Enter the recipient's phone number, or a distribution list number, and press #.
You can continue to enter numbers, pressing # after each entry. Press # a final time when you have entered all numbers. (See also "Dialing by Name".)
Step 3 Press 2 to forward the fax or e-mail without a comment. The system sends your message and returns you to the fax or e-mail you forwarded.
