Overview

In this chapter, you will learn how to:

Setting Up Attendant Call Coverage

Attendant call coverage allows you to specify a number that callers can transfer to when you do not answer your phone. This is helpful if you want another subscriber to cover your calls when you are away from your phone. When you record your greeting, be sure to include instructions that tell your caller to press 0 (zero) to speak with someone immediately.


Note   If you have attendant call coverage and a multi-line mailbox, note that each of your associated mailbox phone numbers has independent settings for attendant call coverage.

Attendant Awareness

Any subscriber you set up as your attendant should be aware of the following things:

To set up attendant call coverage:


Step 1   Access your voice mailbox and press 4 from the Main menu.

Step 2   Press 2 from the Mailbox Administration menu.

Step 3   Press 1 to enter a new attendant call coverage number or change the existing number.

Step 4   Enter a phone number and press #.

The system reads the number back to you.

Step 5   Press 1 to verify the number is correct or 2 to change the number.

Step 6   If you have a multi-line mailbox, press *5 to set up attendant calling for another mailbox ID. Otherwise, you are done.

Step 7   When prompted, enter the mailbox ID for the next mailbox you want to work with, and your PIN.

Step 8   When prompted, repeat Steps 2-5.


Note   Verifying the number also activates call coverage.

To deactivate attendant call coverage:


Step 1   Access your voice mailbox and press 4 from the Main menu.

Step 2   Press 2 from the Mailbox Administration menu.

Step 3   Press 2 to deactivate call coverage.

Step 4   If you have a multi-line mailbox, press *5 to deactivate attendant call coverage for another mailbox ID. Otherwise, you are done.

Step 5   When prompted, enter the mailbox ID for the next mailbox you want to work with, and your PIN.

Step 6   When prompted, repeat Steps 2-4.

Setting Up Single Number Reach

Single number reach allows callers to reach you at alternate phone numbers if you do not answer your phone. Callers are prompted either to wait while the system searches for you at the reach numbers, or to leave you a voice message. The system tries the numbers in the sequence in which you entered them.

You can define up to three different numbers for each of these time periods: business hours, after business hours on business days, and non-business days. You can learn how to set up your business hours and days in "Changing Business Hours"


Note   The single number reach feature may not be available, depending on how your account and system are set up.

If you have single number reach and a multi-line mailbox, note that each of your associated mailbox phone numbers has independent settings for single number reach.

If you choose to be paged, you must have the system administrator set up paging for you. The system tries your pager number last.

To set up single number reach:


Step 1   Access your voice mailbox and press 6 from the Main menu.

Step 2   If you have previously entered reach numbers, press one of the following:

Step 3   If you have no existing reach numbers, press 1 to enter them.

Step 4   Press one of the following:

Step 5   Press one of the following (if your system administrator has set up paging for you):


Note   You can also use your pager as the only reach number during any reach sequence.

Step 6   Follow the prompts to enter reach numbers and press # after you enter each number.


Note   You cannot enter your Personal Access number as one of your reach numbers.

Step 7   Press 1 to verify the number is correct, or press 2 to change the number.

Step 8   Follow the prompts to set up reach numbers and pager options for the remaining time periods, and perhaps to change your business hours.

Step 9   You will hear "Your reach numbers are set up" when you complete the single number reach setup procedure. If you chose to be paged and your pager is not turned on, you will be prompted to do so.

Step 10   If you have a multi-line mailbox, press *5 to set up single number reach for another mailbox ID. Otherwise, you are done.

Step 11   When prompted, enter the mailbox ID for the next mailbox you want to work with, and your PIN.

Step 12   When prompted, repeat Steps 2-9.


Note   If you exit the single number reach setup procedure (by hanging up or using a * key command) before you hear "Your reach numbers are set up," the system does not save any of the reach numbers you entered, and clears all reach numbers that were already in the system.

To deactivate single number reach:


Step 1   Access your voice mailbox and press 6 from the Main menu.

Step 2   Press 2 from the Incoming Calls menu to deactivate single number reach.

Step 3   If you have a multi-line mailbox, press *5 to deactivate single number reach for another mailbox ID. Otherwise, you are done.

Step 4   When prompted, enter the mailbox ID for the next mailbox you want to work with, and your PIN.

Step 5   When prompted, repeat Steps 2-4.

Responding to a Reach Call

You have three options when the system calls you at your reach number and you answer the phone. You can:

  The system then cycles through your remaining reach numbers. If you do not press any key, this option is the default.

Note   It is recommended that you inform others who may answer the phone at your reach numbers how to respond to reach calls.
