Customizing Your Service

Overview

In this chapter, you will learn how to:

Changing Your PIN

Your PIN ensures that only you have access to your voice mail. You should not use a PIN that would be easy for someone else to guess. For instance, do not use your phone number, house address, or birth date. You should choose a number that will be easy for you to remember.

To change your PIN:


Step 1   Access your voice mailbox and press 4 from the Main menu.

Step 2   Press 3 from the Mailbox Administration menu.

Step 3   Enter your new PIN and press #.

Your PIN must be between 4 and 8 digits long (depending on your system's configuration). Your PIN cannot contain # or *.

Step 4   Reenter your PIN and press #.

The system confirms that it has changed your PIN.


Note   If you have a multi-line mailbox, your new PIN is immediately effective for all phone numbers (mailbox IDs) associated with your mailbox.

You can also change your PIN using your personal computer. You will learn how to do this in "Changing Your PIN" .

Enabling and Disabling Your Pager Notification

If you have a pager that is set up to work with your voice mailbox, you can enable or disable pager notification for messages you receive in your mailbox and for single number reach when callers request to page you. If your pager notification is enabled and you do not change the default pager notification settings, you will be paged when you receive a new urgent voice, fax, or e-mail message.

If your pager is numeric only, it will display a two-digit code informing you of the message type:

For single number reach, you must define pager notification as part of a reach sequence. If you turn single number reach paging off, callers will not be prompted to page you. You will learn how to set up single number reach in "Setting Up Single Number Reach" .


Note   Please ask your system administrator to configure your pager. If your pager is not configured, the system does not list this option in the Mailbox Administration menu.

To enable or disable your paging notification:


Step 1   Access your voice mailbox and press 4 from the Main menu.

Step 2   Press 4 from the Mailbox Administration menu.

The system tells you whether paging is on or off.

Step 3   Press one of the following:

* The system does not present these options unless single number reach is enabled.

You must change the pager message notification using your personal computer. For example, you can set the service to page you only on urgent voice messages. You will learn how to do this in "Administering Defined Message Notification" .

Changing Message Playback

You can change the way messages are played back to you.

You can choose to hear messages with their headers (the part of the message that tells you the telephone number or name of the person leaving the message, as well as the time and date the message was received), or the message body only, for both new and saved messages. Unless you change it, the system is typically set to play the message body only.


Note   Even if you have set up your mailbox so that messages play without headers, you can press 5 at any time while a message is playing to hear the message header.

The autoplay feature automatically plays the Get Messages menu after you have accessed the system, so you can get your messages right away by selecting the message type. Unless you change it, the system is typically set to get new messages automatically. If you prefer to get the Main Menu instead, then you need to disable autoplay of messages.


Note   If your system has voice messaging only, the autoplay feature automatically plays your messages right away. You do not have to select the message type if you have voice messaging only.

If autoplay is enabled and you don't want to listen to your messages when you access the system, press *1 to access the Main menu and perform another function. If you have urgent messages and Inventory is on, you must press *1 again to get to the main menu.

To change message playback:


Step 1   Access your voice mailbox and press 4 from the Main menu.

Step 2   Press 5 from the Mailbox Administration menu.

Step 3   Press 1 to enable or disable automatic playing of message headers.

Step 4   Press 2 to enable or disable autoplay of messages.

Step 5   Press *2 to return to the previous menu.


Note   If you have a multi-line mailbox, each of your associated mailbox phone numbers (mailbox IDs) has independent settings for message playback.

You can also change the message playback options using your personal computer. You will learn how to do this in "Administering Message Playback" .

Changing Business Hours

Business hours are used with the out-of-hours greeting and with single number reach to distinguish between standard business hours and the other hours of the day. Default standard business hours are Monday through Friday, 8:00 a.m. to 5:00 p.m.

To change business hours:


Step 1   Access your voice mailbox and press 4 from the Main menu.

Step 2   Press 6 from the Mailbox Administration menu.

Step 3   Press *3 to use default standard business hours (Monday through Friday, 8:00 a.m. to 5:00 p.m.).

Step 4   Press 1 to change the active business days in a week.

Step 5   For each day, enter a number from 1 to 7 (1 = Sunday, 2 = Monday, 3 = Tuesday, 4 = Wednesday, 5 = Thursday, 6 = Friday, and 7 = Saturday). If you make a mistake, press *3 and start again.

(For example, press 34567# to change your business days to Tuesday through Saturday.)

Step 6   Press # after you have entered all your business days.

Step 7   Press 2 to enter the start time for business hours.

Step 8   Enter the hour, then 2 digits for the minutes, then press A (2 on the phone keypad) for a.m., or P (7 on the phone keypad) for p.m.

(For example, press 900A# to begin your business day at 9:00 a.m.)

Step 9   Press # after you have entered your business start time.

Step 10   Press 3 to enter the end time for business hours.

Step 11   Enter the hour, then 2 digits for the minutes, then press A (2 on the phone keypad) for a.m., or P (7 on the phone keypad) for p.m.

(For example, press 600P# to end your business day at 6:00 p.m.)

Step 12   Press # after you have entered your business end time.

Step 13   If you have a multi-line mailbox, press *5 to set up business days and hours for another mailbox ID. Otherwise, go to Step 16.

Step 14   When prompted, enter the mailbox ID for the next mailbox you want to work with, and your PIN.

Step 15   When prompted, repeat Steps 1-12.

Step 16   When you have finished changing business hours, press *2 to return to the Mailbox Administration menu, press *1 to return to the Main menu, or just hang up the phone.

You can also change business hours and days using your personal computer. You will learn how to do this in "Changing Business Days and Business Hours" .

Assigning and Changing the Default Fax Number

If you do not provide a default fax number, the system prompts you to enter a number each time you request to print a fax or e-mail.

To assign or change the default fax number:


Step 1   Access your voice mailbox and press 4 from the Main menu.

Step 2   Press 7 from the Mailbox Administration menu.

Step 3   Follow the system prompts to enter the default fax number and press #.

The number cannot contain # or *.

Step 4   Press 1 to verify the number is correct.

You can also assign a default fax number using your personal computer. You will learn how to do this in "Setting a Default Fax Machine" .
