Get Messages

Listening to Messages

You can listen to voice and e-mail messages and you can print fax messages.

Step 1 Dial the system access number.


Note Some systems are configured such that you must press 2 after dialing the system access number to retrieve your messages. If your system has been configured in this manner, you will be prompted to press 2.

Step 2 Perform one of the following:

Step 3 Enter your PIN and press #.

Step 4 If you have urgent messages, the system asks if you want to hear them first. Urgent messages are played in the order received regardless of message type (voice, fax, or e-mail). If you choose not to hear your urgent messages, then the urgent messages will be included with your other new voice, fax, and e-mail messages.

Step 5 After urgent messages, the system tells you how many new voice, fax, and e-mail messages you have.


Note If you've changed your Message Playback setting to not automatically play your messages (Message Autoplay Off), press 1 to go to the Get Messages menu.

Note If you have a lot of messages in your mailbox, it may take awhile for the system to inventory them all. In this case, you will hear the message: "Please wait, we're still taking an inventory of your messages."

Play the remaining options after the main options have been played. Note "0" does not have to be pressed in order to select a secondary option that was not prompted.

Deleting Messages

You can delete messages you don't need anymore. In fact, it's best to keep your mailbox free of unnecessary messages. (Maximum message storage is 30 minutes, with an average message time of 1 to 1.5 minutes in length.) When your mailbox is full, callers will not be able to leave you a message until you delete old messages from your mailbox.

Step 1 Press 3 after you listen to the message. The system tells you it deleted the message, and then skips to the next message.

Retrieving a Deleted Message

You can retrieve any message you deleted immediately after deletion. Once you continue to the next message, you cannot retrieve a deleted message.

Step 1 Immediately after deleting the message, press *7. The system returns you to the deleted message.

Step 2 Listen to the message and take one of the following actions:

Saving a Message

When you save a message, the system moves the message to storage.

Step 1 Press # after you listen to the message to save it. The system tells you it saved the message, and then skips to the next message.

Making a Message New

You can make a saved or deleted (and then retrieved) message new again. This is useful if, for example, you want to remind yourself to respond to a message at a later time or if you can't listen to an e-mail message over the phone.


Note Messages are kept as new if you do not take any action on the message before exiting the system. For example, if you listen to a message, do not take any action and hang up the phone, the message will be kept as new.

Step 1 Listen to the message.

Step 2 Press 6 to make it new again. The system tells you it made the message new, and then skips to the next message.

Replaying a Message

You can replay a voice or e-mail message you've already listened to. You cannot play a fax message.

Step 1 Listen to the message.

Step 2 Press 1 to replay the message.

Printing Fax Messages

You can print a fax at your default fax machine, or at any other fax machine you choose. This feature is especially useful when traveling—you can print a fax at the airport, at a client site, at your hotel—wherever and whenever you choose. You can print faxes up to 50 pages long.

If the fax machine is busy or not working, the system tries four times (based on a configurable system attribute) to print your fax. If it can't be printed, you will hear the following the next time you get your messages: "The attempt to print the following fax failed...."

To print a fax message at your default fax machine:

If you don't provide a default fax number, the system prompts you to enter a number each time you request it to print a fax.

Step 1 Get the fax message.

Step 2 Press 1.

Step 3 Press 1. The system prints the fax at your default fax machine

To print a fax message at another fax machine:

Step 1 Get the fax message.

Step 2 Press 1.

Step 3 Press 2.

Step 4 Enter the fax machine number and press #. The number cannot contain # or *.

Step 5 Press 1 to verify the number is correct. The system prints the fax.
